Privacy Policy

1. Introduction 

This privacy policy sets out the ways through which ALPHA Ports Limited,as the Irish-registered trading name of African Logistics Port Hub Association (ALPHA), may use your personal data.

In this privacy policy:

• ‘we’, ‘us’ or ‘our’ means ALPHA, with which you are interacting as detailed above, organising the summit called ‘ATTES’ you are attending or managing the website you are using.
• ‘the site’ means the ALPHA website you are visiting or engaging withand
• ‘You’ and ‘your’ means you, the person engaging with us, registering for our events or services or visiting our site.

By registering for the ATTES event or subscribing to our services, for example the African Port Hub magazine, monthly newsletter, visiting our site or otherwise interacting with us, we will process your personal data as detailed in this privacypolicy.

3. Definitions

• Personal data: All information about an identified or identifiable natural person ('the person concerned'), such as name, address, date of birth, title (s), gender, address, telephone number, e-mail address, job title, personnel number, medical reports, content of e-mails, achievements/figures, letters, complaints, photos, videos, IP addresses, tracking cookies, login names and passwords.
• Processing of personal data: An operation or a whole of operations, relating to personal data or a set of personal data, automated or manual, such as collecting, recording, ordering, storing, updating, modifying, retrieving, consulting, using, providing by forwarding, disseminating or bringing together any other form of posting, linking, and the protection, erasure or destruction of data.
• Special personal data: Personal data showing race or ethnic origin, political opinions, religious or philosophical convictions or membership of a trade union.
• Person involved/ ‘you/your’: The person to whom personal data relates.
• Processing officer: The entity that determines the purpose and means for the processing of personal data. Within the framework of these regulations, the competent authority, namely ALPHA, represented by its Executive Board.
• Processer: The natural person or legal entity who processes personal data.
• Third: A natural or legal person, a government agency, a service or another entity.

4. Scope and objective

• These regulations set rules about the processing of your personal data and of all those involved in the organisation, including employees, visitors to your organisation, visitors to our website and external relations (e.g. suppliers and contractors).
• These regulations apply to all your personal data processed by ALPHA.

5. The regulation aims

• To protect your personal privacy against the wrong and unintended use of such personal data;
• To determine for which purpose and on what (legal) basis personal data is processed within ALPHA;
• Also to ensure, moreover, that personal data is processed lawfully, transparently and properly within ALPHA;
• To record the rights of data subjects and to ensure that these rights are respected by ALPHA.

6. Purposes of the processing of personal data

In the processing of personal data, ALPHA complies with the relevant Irish legislation and regulations, including the General Data Protection Regulation (GDPR).

1. The processing of personal data takes place for:

• Execution of an agreement
• The fulfilment of a legal obligation
• To protect vital interests
• For the fulfilment of a task of general interest
• For the fulfilment of legitimate interests
• Entering into and executing employment contracts, cooperative relationships with contractors and contracts with suppliers;
• The implementation or application of laws and regulations;
• Legal proceedings involving synergy.

2. The processing of personal data may also take place for purposes that are compatible with the purposes as previously described.

7. Information we may collect about you

• Information you give us: We collect any information you provide to us when you complete registration forms or provide us with your details over the phone – for example when you register an account with us, register to attend ATTES summits (whether as a delegate, exhibitor, speaker or attendee) or subscribe to our mailing list. This information might include your name, address, email address, phone number, credit card information and other information relevant to the event or service for which you are registering.
• Information we collect about you: We will collect any information contained in any correspondence between you and us via contact forms on websites and emails or telephone calls.
• Information we receive from third parties: We may collect information about you from third parties that we work closely with for the purposes of delivering to you the services that you request from us. For example, we may engage third parties to assist us with our online event registration systems or payment systems; these entities will collect information directly from you on our behalf. We may engage third parties to operate event websites on our behalf; these entities will collect information directly from you about your visits to the website on our behalf.

We may also receive information about you from third parties where you have consented to such third parties sharing your information with us. These third parties include marketing, contractors, event stand builders, promoters and event partners.

8. How we use information about you

We may use your information for the following purposes, depending on the relationship you have with ALPHA.  Prior to submitting your personal data to the ALPHA website, the data team will provide you with information on how we will use your data and link you to this privacy policy.

9. We use personal data to:

Provide you with information that you have requested from us, in relation to events, the African Port Hub magazine and online subscription.

10. The purpose of this is:

We will need to use your contact details to keep you updated about the products or services you have indicated you are interested in.

11. The applicable legal basis:

By specifically requesting information from us you are consenting to us using your personal data for the purposes of communicating such information to you.

Where you have registered for the ATTES summit or to exhibit at an event, we need to use your personal data in this way to perform our contractual obligations to you.

12. How we look after your data and how long we keep it

The ALPHA team will retain your information for as long as is necessary to provide you with the services that you have requested from us, or for as long as the law otherwise permits. Where you have not participated, attended or registered to attend or participate in one of our events, or otherwise engaged with us in four years, we will delete your data, unless we have an obligation to retain it for longer (for example for taxation purposes).

13. Where we store your information 

The ALPHA portal servers are situated inside the European Economic Area (EEA) and all of the information that we collect about you will be stored on these servers. If you have signed up to exhibit at the ATTES summit, and under such circumstances, we will take all steps necessary to ensure that any of your information is adequately protected and processed in accordance with this privacy policy, and where necessary, we put in place relevant safeguards to ensure the safe processing of your data. 

14. Your rights in relation to your personal data

You can:

• Request a copy of the personal data that we keep about you.  
• If you are concerned that any of the information we hold on you is incorrect, to have that data corrected. 
• Contact us to stop processing your data, or withdraw consent where we are relying on consent as the legal basis for any processing of your data.
• Contact us to request that we delete your personal data.

15. Changes to this privacy policy

We may update this privacy policy from time to time.
